People Operations Coordinator

Downtown is looking for a People Operations Coordinator to support our growing global organization and engage with employees at all stages of the employee lifecycle. We're looking for someone who is comfortable and committed to executing on routine tasks but can also take on new projects as they arise. This position can be located in either New York City or Los Angeles, CA. This is a hybrid position that will have a flexible remote and in office working schedule. 


What you'll do: 


ONBOARDING
  • Launch new employee onboarding in Paylocity
  • Develop strong, collaborative and responsive relationships with employees by creating a unique people experience for each individual
  • Administer Day 1 Employee onboarding presentation
  • Process 1-9 verifications
  • Create Day 1 Itineraries
BENEFITS ADMINISTRATION
  • Launch Qualifying Life Events in Benefits Portal
  • Field general benefit questions
  • Update benefit guide annually
  • Keep apprised on new federal and state regulations and assist with updates for policy and procedure guidelines.
DATA ADMINISTRATION
  • Update employee changes in our HRIS
  • Process employment verifications
  • Create and administer paperwork to support employee changes including promotions, salary adjustments, manager changes and terminations.
  • Coordinate People Team events and initiatives: Track participation, send reminders and follow-ups, coordinate ‘best times’ across multiple time zones, send invites with virtual meeting links, and manage both virtual and in-person events as needed
MISCELLANEOUS
  • Assist with planning special events such as open enrollment meetings, company wide events, speaker engagements, engagement surveys, etc. 
  • Assist with the growth and development of our University Partnerships and Outreach program. 
  • Assist the Global Head of People with various projects
  • Serve as a brand ambassador for our organization through championing our culture, mission and values on a regular basis

After 3 months you’ll have:

  • Have a clear understanding of each of the brands, what they do, the stakeholders and what benefits they utilize. Finalize Calendar, Create Benefit Spotlights and work on communications to be sent out.

You are / have: 

  • 1-2 years of proven work experience as a HR Intern, HR Assistant, HR Coordinator or relevant role
  • Passionate about helping people
  • Ability to handle confidential matters and sensitive data
  • Expert with Google Suite
  • Self-starter with the ability to handle multiple projects and priorities
  • Analytical and problem-solving - you love finding solutions
  • Organized with a eye and passion for details
  • Exceptional communication skills (both verbal and written)
